1. Who we are
LaxStat Pro is operated by Victor3. Victor3 is the data controller for the personal data described in this notice — we decide why and how it is processed. You can reach us at nate@syncedai.ai.
2. Data we collect and why
- Account data (name, email address, login credentials managed by our authentication provider, organization and role) — to create and secure your account, enforce team membership and roles, and provide the Service. Legal basis: performance of our contract with you.
- Team and stat content (player names, jersey numbers, positions, games, logged events, notes, uploaded roster/schedule documents) — to deliver the stat keeping features you asked for. Legal basis: performance of contract; where the content concerns minors, the organization is responsible for having a lawful basis to record it.
- Support messages — to answer your questions. Legal basis: performance of contract and our legitimate interest in supporting customers.
- Usage and technical data (device and browser type, pages and actions, IP address, error and audit logs) — to keep the Service secure, detect and prevent fraud and abuse, diagnose faults and improve the product. Legal basis: legitimate interests.
- Subscription records (plan, seat count, subscription status, billing period) — to manage entitlements. Card and payment details are collected and processed by Stripe, our payment processor, not by us. Legal basis: performance of contract and legal obligation.
- Marketing communications, only where you have opted in. Legal basis: consent, which you may withdraw at any time.
3. Who we share data with
- Service providers / subprocessors — cloud hosting and database, authentication, email delivery, error monitoring, and the AI model provider used to generate insight reports and to extract roster/schedule data from uploads. They act on our instructions under contract.
- Stripe, our payment processor, for payment collection, subscription management, invoicing and tax calculation.
- Other members of your organization — team data is visible to the members and viewers of that team according to their role.
- Professional advisers (legal, accounting) where reasonably necessary.
- Authorities where required by law or to protect our legal rights.
We do not sell personal data.
4. International transfers
Our providers may process data in the United States and other countries. Where data is transferred out of the UK or EEA we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.
5. Retention
We keep account and team data for as long as the organization keeps its account, and afterwards only as long as needed for legal, tax, accounting or dispute-resolution purposes. Audit and security logs are kept for a limited period and then removed. Uploaded roster/schedule source files are processed for extraction and are not retained. When you delete your account, the organization's historical records are retained by the organization and your personal details are anonymized. Data no longer needed is deleted or anonymized.
6. Your rights
Depending on where you live, you may have the right to access your data, correct it, request erasure, restrict or object to processing, receive a portable copy, and withdraw consent. UK/EEA residents may also lodge a complaint with their supervisory authority. Email nate@syncedai.ai and we will respond within one month.
7. Security
We use appropriate technical and organisational measures, including encryption in transit, encrypted storage at rest, row-level database isolation between organizations, role-based access control, optional multi-factor authentication and audit logging. No system is completely secure, so we also keep incident response and backup procedures.
8. Cookies and local storage
We use strictly necessary cookies and browser storage to keep you signed in, remember your selected team, and hold offline stat entries on your device until they sync. We do not use advertising cookies. You can clear cookies and site data in your browser settings, though doing so signs you out and discards any unsynced offline entries.
9. Children
Accounts are intended for coaches, staff and adult team members. Player statistics may relate to minors; the organization that records them is responsible for obtaining any consent required by its school, club or league.
10. Changes and contact
We will update this notice when our practices change and revise the date above. Questions? Contact Victor3 at nate@syncedai.ai. See also our Terms & Conditions.
